This Privacy Policy describes how ClinicalSpace LLC ("ClinicalSpace," "we," "us," or "our") collects, uses, shares, and protects personal information when you use clinicalspace.com or any related services (the "Service"). It also describes the rights you have over your personal information.
This Policy is incorporated by reference into our Terms of Service and should be read together with our Cookies Policy.
1. Summary
In plain language:
- We collect account information you give us (name, email, practice details, listing content) and technical information from your device (IP address, browser, pages viewed).
- We use it to operate the Service, match listers with seekers, communicate with you, and improve the Service.
- We share it with service providers who help us run the Service, and — only with your explicit permission — with brokers or other professional intermediaries who may have a buyer, tenant, or seller matching your listing or wanted post.
- We do not sell your personal information for money or for ad targeting.
- You can access, correct, delete, or download your information at any time through your account settings or by emailing hello@clinicalspace.com.

2. Information we collect
a. Information you give us
When you create an account, post a listing, post a "space wanted" request, save a search, or contact another user, we collect:
- Name, email, and password.
- Practice or company name, role, and specialty.
- Professional license information (if you choose to provide it for verification).
- Contact preferences (email, phone, preferred contact times).
- Listing content (descriptions, addresses, square footage, room counts, photos, pricing).
- Messages and inquiries you send through the Service.
- Any other information you voluntarily provide.
b. Information collected automatically
When you use the Service, we automatically collect:
- IP address and approximate geographic region.
- Browser type, operating system, and device identifiers.
- Pages viewed, links clicked, search queries, and time spent.
- Referrer URL (the page that brought you to the Service).
- Cookie and similar-technology identifiers (see Cookies Policy).
c. Information from third parties
If you sign in through a third-party authentication provider (e.g. Google), we receive basic profile information from that provider as authorized by you. If you provide a license number, we may verify it against publicly available licensing databases.
d. What we do not collect
We do not collect Protected Health Information (PHI) and the Service is not designed for PHI. If you submit PHI in error (for example, in a listing description), we will remove it.
3. How we use information
We use information for the following purposes:
- Operate the Service — host your account, display listings, process searches, route messages, send transactional emails.
- Match listers and seekers — surface listings that match your saved searches and notify you accordingly.
- Improve the Service — analyze how users interact with the platform to fix bugs and prioritize features.
- Communicate with you — send account notifications, listing-status updates, follow-up reminders, and (with your consent) marketing or educational communications. You can opt out of marketing communications at any time.
- Protect the Service — detect fraud, abuse, and violations of our Terms of Service.
- Comply with law — respond to lawful requests from regulators, courts, and law enforcement.
4. How we share information
We share personal information only as described in this section.
a. With service providers
We use third-party vendors to help us operate the Service. They process information on our behalf under written contracts that restrict their use of the information to providing services to us. Categories include:
- Hosting and infrastructure (application servers, database, CDN).
- Email and SMS delivery.
- Authentication.
- Analytics and error monitoring.
- Customer support tools.
- Professional advisors (legal, accounting).
b. With brokers and other professional intermediaries — only with your consent
ClinicalSpace may share your contact information and relevant listing or "space wanted" details with qualified real estate brokers, practice transition advisors, or other professional intermediaries who have a client matching your situation — only if you have given affirmative consent during signup, when creating a specific listing, or in your account settings.
Consent is opt-in. The default state is that we do not share your information with brokers. You can review and change your consent at any time in your account settings, and consent can be granted or withheld separately for each listing or wanted post you create.
If you grant consent and later revoke it, we will stop sharing your information with new third parties within ten (10) business days. We cannot recall information already shared with a broker who received it during the consent window.
c. With other users
If you contact another user through the Service, your name, email, and any message content you send are shared with that user. Listings you publish are public unless marked confidential; confidential listings require an NDA before details are shared.
d. In legal and safety circumstances
We may disclose information when we believe in good faith that disclosure is necessary to:
- Comply with a subpoena, court order, or other legal process.
- Enforce our Terms of Service or investigate suspected violations.
- Protect the rights, property, or safety of ClinicalSpace, our users, or the public.
- Investigate and prevent fraud, abuse, or security incidents.
e. In business transfers
If we are involved in a merger, acquisition, financing, reorganization, bankruptcy, or sale of all or substantially all of our assets, personal information may be transferred as part of that transaction. We will give notice before personal information becomes subject to a different privacy policy.
f. With your consent
We may share information in any other case if you give us specific consent for that sharing.
5. We do not sell your personal information
We do not sell your personal information for money.
We also do not "share" your personal information for cross-context behavioral advertising as that term is defined under the California Consumer Privacy Act ("CCPA") as amended by the California Privacy Rights Act ("CPRA").
If we ever change either of these positions, we will update this Policy and give you notice and the opportunity to opt out, as required by applicable law.
6. Cookies and tracking
We use cookies and similar technologies to operate the Service, remember your preferences, and analyze traffic. For details, see our Cookies Policy.
We honor Global Privacy Control (GPC) browser signals. If your browser sends a GPC signal, we treat it as an opt-out of the sale and sharing of personal information for the duration of your session, even if you have not explicitly used our opt-out link.
7. Your choices and rights
You have the following choices and rights with respect to your personal information.
a. Access, correction, deletion, portability
You can:
- Access your information through your account settings.
- Correct inaccurate information by editing your account.
- Delete your account at any time, which will remove your information except as described below.
- Download a copy of your information by emailing hello@clinicalspace.com.
We may retain information after account deletion if needed to comply with legal obligations, resolve disputes, or enforce our agreements.
b. Marketing communications
You can opt out of marketing emails by clicking the unsubscribe link in any marketing email, or by adjusting your notification preferences in account settings. Transactional emails related to your account or transactions will continue.
c. Broker referral consent
You can grant or revoke consent for broker referrals at any time in your account settings. You can also grant or revoke consent for individual listings or wanted posts when creating or editing them.
d. Cookie preferences
You can manage cookies through the consent banner and through the Cookies Policy link in the footer.
e. Do Not Sell or Share My Personal Information
Although we do not currently sell or share personal information as those terms are defined under CCPA/CPRA, we provide a Do Not Sell or Share My Personal Information link in our footer as a defensive matter. Submitting an opt-out request through that link ensures your preference is recorded even if our sale/sharing posture changes in the future.
8. California residents — additional rights (CCPA/CPRA)
If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA) as amended by the California Privacy Rights Act (CPRA):
- Right to know what personal information we collect, use, disclose, and share.
- Right to delete personal information we have collected.
- Right to correct inaccurate personal information.
- Right to opt out of the sale or sharing of personal information.
- Right to limit the use and disclosure of sensitive personal information.
- Right to non-discrimination — we will not discriminate against you for exercising any of these rights.
To exercise these rights, email hello@clinicalspace.com or use the Do Not Sell or Share My Personal Information link in our footer. We will verify your identity before processing the request and respond within forty-five (45) days, with a possible extension as permitted by law.
You may designate an authorized agent to make a request on your behalf. The agent must provide written authorization from you, and we may require you to verify your identity directly.
Categories of personal information collected
In the preceding twelve months we have collected the following categories of personal information, all from the sources and for the purposes described above: identifiers (name, email, IP address), commercial information (listings, transactions), internet activity (pages viewed, clicks), geolocation (approximate region), professional information (practice, specialty, license), and inferences (search preferences, match scores).
We disclose information to the categories of recipients described in Section 4 (service providers, brokers with consent, other users, legal authorities, successor entities, parties with your consent).
9. Other state privacy rights
If you reside in Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Iowa, Tennessee, Indiana, Delaware, Florida, New Jersey, New Hampshire, Kentucky, Maryland, Minnesota, or another state with a comprehensive consumer privacy law, you may have rights similar to those described in Section 8. 10. Children
The Service is intended for users 18 and older. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a person under 18, we will delete it. If you believe we have collected information from a minor, contact us at hello@clinicalspace.com.
11. Security
We use commercially reasonable safeguards to protect personal information, including encryption in transit, access controls, and regular security reviews. No system is perfectly secure; we cannot guarantee absolute security and you use the Service at your own risk.
If we learn of a security incident affecting your personal information, we will notify you as required by law.
12. International users
The Service is operated in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, processed in, and stored in the United States, which may have data-protection laws different from those of your country.
We do not currently offer the Service to residents of the European Economic Area, the United Kingdom, or Switzerland. If you reside in one of those areas and use the Service, you do so at your own risk.
13. Retention
We retain personal information for as long as your account is active, as needed to provide the Service, and as required for legal, accounting, or reporting purposes. When information is no longer needed, we delete or anonymize it.
14. Changes to this Policy
We may update this Policy from time to time. When we make material changes, we will:
- Update the Effective date at the top.
- Notify you by email or a prominent notice on the Service.
- For changes that expand sharing or sale of personal information, obtain your consent or provide an opportunity to opt out before the change takes effect.

16. Mobile information and SMS
When you provide a mobile phone number to ClinicalSpace, we use it for security messages (such as two-factor authentication codes), service alerts about your listings or account, and confirmations of actions you took on the platform. See our SMS / Text Message Policy for details on message types, frequency, and how to opt out.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. This includes phone numbers, opt-in records, and any related data. We may share mobile information with service providers (such as our SMS gateway provider) strictly to deliver messages you have consented to receive.
